Who processes your data?

Woodestination processes the data collected about you, and is responsible for the processing of personal data for any collection of data about you in relation to the services offered by Woodestination .

For what purposes do we collect and process your data?

Woodestination  collects and processes data about you for the purposes listed below and detailed below:

Firstly, they are used for the purposes of customer relationship management and to allow us to better interact with our customers, to optimize the user experience or to respond to requests and possible complaints from our customers.

These treatments include in particular:

• The possibility of creating an account,
• the management of your consents and authorizations concerning the use of your personal data in particular for sending newsletters and commercial solicitations by electronic means,
• Allow you to benefit from the services of Woodestination , namely obtaining information or ordering the products and services offered by Woodestination , and allowing the latter to track your orders and their invoicing, subscribe to newsletters, etc.
• Recognize your status as a loyalty customer, as soon as you have wished to indicate it and if this information is requested. It is recalled here that the use of your personal data by the loyalty program is subject to conditions of use specific to the loyalty program.
• the collection of your comments and opinions;
• the management of communications and the monitoring of our exchanges, particularly in the context of possible disputes (in particular via the customer service accessible for example by telephone, by instant messaging such as chat. These exchanges may be recorded for the purpose of improving the service),
• the management of your requests related to the exercise of rights, in particular of access, rectification, and opposition, from which you benefit in application of the regulations on personal data;
• the management of the risk of fraudulent use of your data or of the services to which you have access via Woodestination  depending on the results of the checks carried out, Woodestination  may take all measures that it deems useful for the security of your data and our information systems used for the needs of the use of Woodestination  as well as for the defense of its interests. Where applicable, these measures may lead to suspending your access to Woodestination  services and your online account
• sending various information or documents of a “practical” nature relating to the services or products ordered,
• establishing analyses or statistics or responding to surveys or requests conducted by public interest organizations, or administrations, or administrative or judicial authorities,
• tracking and administering the evidence that Woodestination  must provide in application of its legal or regulatory obligations or for needs related to the management of litigation (e.g.: the necessary evidence concerning the exercise of your rights, evidence relating to your orders)
• managing any litigation, in particular relating to the recovery of sums that you may owe us, and managing payment incidents,
• complying with our legal or regulatory obligations applicable to the activity of Woodestination  (e.g. to respond to requests from the tax authorities).

Your data may also be used to carry out operations relating to commercial prospecting, or studies intended to improve customer knowledge and the services that Woodestination  can offer its customers. Your data may therefore be used, in compliance with any required authorizations that you may have granted us:

• to send you promotional messages or personalized or non-personalized advertising, by post or electronically including by mobile notifications, according to your profile,
• to analyze your use of the services (in particular your online browsing and your reactions to emails), so that we can get to know you better, assess the interest represented by the Services offered as well as the messages that we send you and offer you offers, content and services adapted to your profile; these analyses will be carried out in compliance with the authorizations that you may have given us, in particular in the event of the use of cookies or other tracers.

Your data may be used to carry out technical operations related to the processing of your personal data, for the purposes of the purposes set out herein. This includes:

• technical operations related to address rectification;
• the allocation of a digital identifier linked to your data, so that we can interact with you via various digital communication media (websites and mobile applications, social networks) including to send you targeted advertising,
• technical, organizational or cybersecurity operations related to the detection of anomalies and the securing of your data as well as our information systems from which your data is processed.

Your data may also be exchanged between the different entities of the Woodestination group for the purposes defined below.

The data collected within the framework of Woodestination  and the services accessible via Woodestination  may be subject to shared processing, with other data concerning you collected via the services offered by the other entities of the Woodestination group or, where applicable, their partners. This data includes:

• your identification data, your contact data including electronic data;
• your purchasing data, the opinions you give
• your customer profiles, your interests (with the exception of any profile that may reveal information about you relating to health, religious or ethnic data, and more generally so-called special data (formerly referred to as sensitive) in Article 9 of the European General Data Protection Regulation;
• browsing data on the Woodestination group’s websites and mobile applications or websites and applications published by entities outside the Woodestination group (e.g.: sites visited, pages viewed, advertising banners addressed and/or clicked), this thanks to cookie technology or other tracers deposited by Woodestination or by third parties, and this in compliance with the authorizations that you may have granted;

The use of pooling and combining your data pursues well-defined purposes, namely:

• facilitating your access to the services that you have subscribed to with the various entities of the Woodestination group, for example avoiding you having to enter, when of each new account creation on a Woodestination site, your surname, first name, email address or other common data, or to allow you to navigate from one Woodestination site to another without having to re-enter your logins and password. These services may be subject to specific conditions subject to your acceptance, as and when they are offered to you;
• allow the Woodestination group’s customer service to have a history of your exchanges with the various French entities of the Woodestination group, in order to be able to better respond to you;
• allow us to get to know you better in your relationship with the ecosystem of services and the various entities of the Woodestination group, by carrying out studies and analyses aimed at better understanding your expectations in terms of services, products, understanding consumer developments and trends and allowing us to adapt the offer of our products and services in our stores and accessible via Woodestination’s websites and mobile applications;
• allow us to know you better in your relationship with the various entities of the Woodestination group, analyze and build your profile, in order to send you personalized content, offers and advertisements.

Why is your personal data processed?

Your data may be processed for one or more of the following reasons:

• because it is necessary to provide Woodestination  services;
• as part of the agreement that you may have formulated, for example to allow us to communicate with you about our offers and products or those of third-party advertisers
• in compliance with the interests, freedoms and fundamental rights of the persons registered with Woodestination  services because it is necessary to allow us or our partners to pursue our legitimate interests such as retaining our customers, optimally managing our relationship with our customers, knowing them better and promoting our products and services to them or fighting against fraud and ensuring our defense in the event of litigation.

What data do we collect?

The data processed within the Woodestination  framework comes from:

• your registration: data appearing on the subscription form such as your surname, first name, date of birth, contact details, and Woodestination loyalty card number(s) (if this last information is requested). We also collect information relating to the people you register for the trip, including children, their age,
• the use of Woodestination  services such as your purchases, whether made directly with Woodestination  or via Woodestination , data allowing you to be identified and authenticated (connection logs, IP address), data relating to purchases, places and times of ordering and purchasing, your browsing history on the site, dates and times of consultation of the site, location data;
• the use of your Woodestination card or its identifiers to access or use online services offered by C arrefour Voyages such as identification data, contact details, location data, information relating to browsing or to advertisements sent to you;
• sites and mobile applications published by entities outside the Woodestination group: information relating to browsing or to advertisements sent to you;
• social networks such as Facebook, LinkedIn, Twitter; Indeed, data exchanges may occur between Woodestination and social networks, for example when you are connected to the Facebook social network on your computer and you consult a page of the Woodestination site. Similarly, if you click on the Twitter button on a page of the Woodestination site, Twitter will collect this information. If you do not want such exchanges, we recommend that you log out of social networks before consulting the Woodestination site or application.
• Data concerning you may possibly be transmitted to us by third parties, such as your postal or electronic address, data relating to your profile, which will be integrated into our databases. These third parties have collected your data fairly and obtained all required consent before any transmission to Woodestination .
• We may possibly have data from open data.

With the exception of data from open data, other data is not accessible to the public.

The data may be collected directly from you or via the use of Woodestination  services or may come from other entities of the Woodestination group or possibly from our partners or third parties.

The data collected is essential to allow Woodestination  and its service providers and/or partners to provide the services of Woodestination  services or offered via Woodestination Voyages to allow us to know you better and interact with you, offer a facilitated relationship with the Woodestination group ecosystem, or to send you, us or our partners, content adapted to your profile and your interests.

Clarification: Information may be requested from you when you register concerning your particular situation, such as the state of health of the participant(s) in the trip, disability, minority, guardianship, your dietary preferences, etc. that may have an impact on the progress of the trip or stay, this information is only requested for the purposes of studying your travel project and is only transmitted to our service providers/tour operators/airlines who ask Woodestination Voyages to transmit this information.

Who will be likely to access your data?

To achieve the purposes described above and within the limits necessary to pursue these purposes, your data may be transmitted to all or part of the following recipients:

• authorized persons from the relevant departments within the Woodestination Group companies (e.g. departments in charge of marketing, studies and analyses, consumer panels, customer service, litigation, accounting and tax affairs or IT and information systems security);
• Tour operators, transport providers (e.g. airlines), hoteliers, holiday centers, who participate in the provision of the ordered services,
• travel agencies for the purposes of performing the services
• the Woodestination advertising agency and the Woodestination media agency (Digital Media Shopper);
• the legal entity of the Woodestination group that centrally manages the customer base;
• the loyalty program,
• payment providers and service providers for the recovery of sums that you may possibly owe,
• service providers and subcontractors of the Woodestination group companies (e.g. IT service providers, service providers operating in the advertising sector);
• advertisers or partner brands, but in this case they do not have access either directly or indirectly to the data concerning you and only data linked to your profile without it being possible to identify you directly or indirectly, can be used for these advertisers.
• companies that manage shopping centers in which Woodestination stores are present;
• administrative or judicial authorities where applicable in the context of compliance with our legal obligations or to enable us to ensure the defense of our rights and interests.

Limitation of the retention period of your data

The data collected concerning you will be retained for the period necessary to fulfill the purposes above, increased by the period of the legal limitation period. For example, the data may be retained for:

• 6 years for tax documents;
• 10 years for accounting documents;
• the entire duration of litigation and until all appeals have been exhausted.

Thus, as a primary measure, your account data (registration) will be kept for the duration of your membership. They may then be kept and processed for 3 years following your last contact, to allow us to send you commercial solicitations.

How is your data secured?

Woodestination Group companies take into account the nature of personal data and the risks presented by processing, to implement appropriate technical, physical and organizational measures to preserve the security and confidentiality of personal data and prevent it from being distorted, damaged or accessed by unauthorized third parties.

Woodestination Group companies choose subcontractors or service providers who provide guarantees in terms of quality, security, reliability and resources to ensure the implementation of technical and organizational measures, including in terms of processing security. Subcontractors and service providers undertake to respect levels of confidentiality at least identical to those of Woodestination Group companies.

Is your data processed outside the European Union?

The different categories of data collected and processed within the framework of Woodestination  may be transmitted to service providers located in countries outside the European Union such as Morocco, or even within the framework of IT services or the exploitation of data in connection with social networks.

To secure transfers outside the European Union, our subcontractors sign with Woodestination , for example, either standard clauses defined by the European Commission in order to supervise the flows, or are subject to binding internal rules by the authorities that control the protection of personal data, or are located in a country with legislation offering adequate protection.

What are your rights?

In accordance with the regulations on the protection of personal data, you have the right to information as well as the right to access, rectify, erase (unless they are necessary for the performance of our contract, or if they are necessary for us to comply with our legal obligations or to establish or exercise our rights) related to the data that concerns you, as well as the right to define guidelines regarding the fate of your data after your death. It is specified here that under the right of access, Woodestination may request the payment of reasonable fees based on administrative costs for any additional copy of the data to that which will be communicated to you.

You also have the right to obtain the limitation of processing and the right to the portability of the data that you may have provided, which will apply in certain cases. Furthermore, you may request to exercise your right to object, for reasons relating to your particular situation, to the processing of personal data concerning you when the processing is based on the legitimate interest of the data controller, including profiling. In the event of exercising such a right to object, Woodestination will cease processing unless there are legitimate and compelling reasons for the processing that prevail over the interests, rights and freedoms of the data subject or for the establishment, exercise or defense of a legal claim. You may also object to any processing related to prospecting (including profiling related to such prospecting), or withdraw your consent at any time, for cases where it has been requested (withdrawing your consent will have no impact on the lawfulness of the processing carried out before the withdrawal of consent)

Woodestination wishes to inform you that failure to provide or modify your data may have consequences in the processing of certain requests as part of the execution of the general conditions of the loyalty program and that your requests for the exercise of rights will be kept for monitoring purposes.

As the data controller, Woodestination  implements the processing of personal data concerning you for the purposes of managing the loyalty program, managing its relationship with you, carrying out operations to communicate promotions and personalized or non-personalized offers, managing the link between the Pass card and the loyalty program (if applicable) and producing statistics in order to improve the loyalty program offer.

Proof

The computerized records, stored in the Woodestination  computer systems under reasonable security conditions, will be considered as proof of the communications between the Parties.

Waiver

It is formally agreed between the Parties that any tolerance or waiver by one of the parties in the application of all or part of the commitments provided for herein, whatever their frequency and duration, may not constitute a modification of these General Conditions, nor generate any right whatsoever.

Force Majeure

Foreseeable, irresistible and external events that make it absolutely impossible for one or other of the Parties to perform their commitments under the conditions provided for are deemed to be force majeure events.

All force majeure events, defined by regulations and case law, constitute a cause for suspension or termination of Woodestination ‘s obligations, if the event continues for more than one (1) month. Woodestination cannot be held responsible for the non-performance of its obligations in the event of the occurrence of one of the aforementioned events.

Applicable Law

This site is subject to French law.

Updating information

The website is updated every day. However, it is possible that the proposed dates become unavailable during the day, that proposed departures (departure airports) are no longer available, or that the price is updated during the day. It is also possible that a call price indicated is no longer available, depending on the available stock, reservations and the filling of allocations for each of the dates and departures of the travel service.
